A packet for the TR HOA annual meeting will be mailed to all homeowners. It contains the following:
All homeowners are encouraged to attend but, if are unable to do so, to ensure we reach quorum for the meeting, please complete and return the Proxy to the HOA or an authorized substitute who will be present at the meeting to act as your proxy. To attend the annual meeting, homeowners are required to REGISTER IN ADVANCE.
The link above (also provided in the meeting notice) is NOT the meeting link… it is the link to register for the meeting.
Registering is quick and easy! During registration you will be asked to provide your: Name, Email and Property Address/Lot#. After registering, you will be sent a link to use to attend the meeting. This meeting link is specific to you and cannot be shared.
TR HOA is requiring attendees to register to allow the HOA to take attendance for the meeting and ensure that quorum is established.
In the meeting, voting will be done using the Zoom polling feature.
Per the CC&Rs, there is only 1 vote allowed per household. If more than one person from a household is attending, we ask, if possible, that you do so by having one person register for the meeting and all household members attend using the same device. If more than one member per household is registered and attending using different devices, only 1 attendee from a household can vote, and the other attendee(s) must abstain.
NOTE: If you are using your iOS or Android device to attend the meeting, please use the Zoom app (do not dial in using a phone number). This will ensure that you can vote using the app's polling feature.
By default, all attendees will be muted. This will ensure that everyone can hear the speaker. TR HOA asks that you not unmute yourself while the speaker is presenting their topic. After each speaker has finished, there will be time for questions.

Mailed proxies must be received by 4pm the day prior to the meeting.
At the start of the zoom meeting, we will ask that any attendees voting as a proxy for another owner identify themselves to the host. If the paper proxy was not delivered to the HOA, you must immediately send a PDF or image file of the proxy to the meeting host via Zoom's chat feature.
Why do I have to register?… It’s an extra step.
The HOA requires homeowners to register to allow the HOA to take attendance for the meeting. This helps ensure that quorum is established which is needed for voting at the meeting. At an in-person meeting, homeowners are asked to sign an attendance sheet. Registration is the “online equivalent” of this sheet and has the added benefit of being able to be done ahead of time.
Will the meeting be video taped?
Due to consent requirements in the state of Washington, TR HOA will not record a video of the annual meeting. If you are unable to attend the meeting, you can review the meeting minutes for a summary of the meeting.
When can I pre-register?
Registration will open as soon as the notices have been mailed to homeowners. Registration CLOSES at 6:30pm on the day of the meeting to allow the board time to prepare the attendance list before the meeting. Please ensure you have registered by this time.
